Digitalización de Documentos DEFINICION Es el proceso de convertir una imagen en papel a una imagen que puede ser reconocida en su totalidad por un computador; sencillo, eficiente y rentable para almacenar, administrar y consultar documentos. También podemos decir que es convertir señal de entrada continua(analógica), como una imagen o una señal de sonido, en una serie de valores numéricos

Digitalización de Documentos ¿A quién está dirigido? A quienes esta Dirigida? Dependencias Gubernamentales Empresas Industrias Instituciones Educativas Interesadas en sustituir el uso del papel por imágenes digitales que puedan ser consultadas de manera instantánea, sin riesgos de pérdida o deterioro como ocurre con los documentos en papel.

Pasos para la digitalización de documentos PREPARACIÓN DE LA DOCUMENTACIÓN Eliminación de grapas, sobres, y cualquier otro tipo de elemento como postits, etc, realizándose también expurgos y clasificación del material. DIGITALIZACIÓN Obtención de la imagen digital del documento físico. En este proceso se realizan los controles de calidad requeridos según parámetros del usuario. INDEXACIÓN Los documentos necesitan su identidad para luego poder ser localizados unívocamente por el usuario; la asignación de esta información se hace a posteriori de la digitalización de forma automática (software) o manual con una actividad de data entry. INTEGRACIÓN DE LAS FACTURAS EN LOS PROCESOS ERP Además de la disponibilidad de imágenes, el control de calidad indicado permite la integración los datos en los procesos ERP de la empresa.

Digitalización de Documentos Beneficios Gran eficiencia en la consulta de documentos y expedientes. Consultas simultáneas de documentos digitales por una gran cantidad de usuarios. Las imágenes digitales pueden incorporarse a cualquier documento electrónico, sistemas y aplicaciones diversas o bases de datos, a diferencia del papel. CONSULTA DOCUMENTAL Reducción de las áreas de archivo físico y ahorros monetarios. Reducción de riesgos por pérdida de documentos. Tipos de digitalización de documentos Retrospectiva Su objetivo es garantizar la conservación y facilitar la difusión en línea de los documentos de un fondo de archivo, sin tener que eliminar los documentos originales. Sistemática Este tipo de Digitalización genera una copia del uso interno del documento que se recibe y esta se puede convertir en una copia autentica y sustituir el original mediante un sello o firma del responsable. Estas son usadas en las organizaciones que tienen sistema de gestión de documentos electrónicos.
